That demonstration lets you try the equipment. It does not yet show whether a teacher can start the same activity across a room full of headsets and finish the lesson on time.

Choose one specific lesson or training exercise for the trial. Record the application, subject, working time and task each participant must complete. It could involve identifying parts of a model, following a procedure or creating a design. “Try a few apps” is too broad to produce a useful result.

The procedure below is a suggested technical trial before commissioning a larger deployment. It is not a contract template or confirmation that a particular procurement specification has been met. Set the timing and headset count to match your own sessions.

Record the exact equipment and software

Start with headset models, equipment numbers, operating system versions, app versions and accessories. State whether the application runs on the headset or on a PC. For PC VR, also record the computer, connection method and streaming software.

A product family name is not enough. PICO distinguishes its Enterprise environment from its consumer platform: consumer accounts and apps are unavailable on business devices. Seeing an app work on a different edition therefore does not establish that it will run on the configuration being purchased. Source: PICO Enterprise OS.

For each application, record the supplier, licence edition, simultaneous user allowance and expiry date. Read these details from the quotation and account dashboard. Do not infer them from the price of an individual copy.

Start every station at the same time

Begin with the headsets switched off. The person who will normally lead the session should unpack them, turn them on and select the exercise. The supplier observes. If the supplier needs to take over, record why and what they did.

Measure the time until the last station is ready. Separately record any device that needed an update, login or controller pairing. An average startup time can conceal the one headset that never started.

For example, a room with eight headsets serving 24 participants could be tested with three successive groups. This is an example trial arrangement, not a recommended ratio for every school. Include the handover between users: strap adjustment, preparation of the equipment and returning the application to the beginning of the exercise.

Test the instructor’s account

Use the account and operating mode the school or company will actually use. A technician’s personal account should not be an invisible requirement of the demonstration.

The instructor should find the app, open the correct material, leave the exercise and prepare the headset for the next participant. Separately, the administrator should demonstrate how updates are installed and access is recovered. Do not put passwords in the acceptance record.

If device management is included, test a useful action rather than merely checking that headsets appear in a list. PICO Business Device Manager describes content deployment, device configuration and user roles. A listed feature still needs to work in your organisation, under the intended account. Source: PICO Business Device Manager.

Run the exercise in the intended room

Arrange the equipment where sessions will take place and use the planned number of simultaneous connections. If the instructor needs a view of a participant’s screen, run that view on the computer or display that will be used during lessons.

Record tracking loss, interruptions to the image and disconnections. Include the headset number and the point in the exercise where each event occurred. “Wi-Fi works” is unhelpful when the application opens its menu but loses its connection on entering a shared scene.

If sessions must run without internet access, conduct a separate trial under that condition. Offline behaviour depends on the application. Do not disconnect the school’s entire network; agree a test arrangement with the person responsible for the local infrastructure.

A Maria College session with an instructor and the application shown on a large screen. | Photo courtesy of Maria College; source: ManageXR.

Retrieve the participant’s work

At the end of the exercise, the participant should save a result and the instructor should retrieve it. Use a made-up participant identifier and a simple test file. Close the application, restart it and reopen the same result.

Establish what the system produces: a local project, a downloadable file, a dashboard entry or a report sent to another service. Open Brush, for example, distinguishes saving a sketch on the device from publishing it to an external gallery. Test these as separate operations. Source: Open Brush saving documentation.

If the quotation specifies export to another application, open the test file in that application. An Export button alone does not demonstrate that the model can be read correctly.

Include the time between groups

Carry out a complete user change, including cleaning the surfaces that touch the face, adjusting the headset and checking battery levels. Measure the interval because it uses part of the available lesson time.

Follow the cleaning instructions for the specific model. HTC gives separate guidance for the VIVE Focus Vision housing and lenses, and prohibits liquids on its lenses. A method suitable for the housing must not automatically be applied to the optics. Source: VIVE Focus Vision cleaning instructions.

Record each headset’s battery level after the entire trial. Then connect every device to the intended charging arrangement and verify that each one is charging in its assigned compartment. One charging headset does not establish that the full room will be ready for the next session.

A Zioxi USB-C VR cabinet, XR-10, with headsets fitted with rigid straps. | Photo: Zioxi; zioxi.com.

Make the result repeatable

For each test, keep the action, expected outcome, observed result and equipment number. The following entries provide a starting point:

Start the whole group: every station should open the chosen exercise. Record how many headsets started successfully and when the last one was ready.

Change participants: the next person should begin the task from the start. Measure the turnaround time and note any help required.

Save the work: the instructor should retrieve the result after a restart. Record the test filename and the location from which it was opened.

Charge the equipment: every device should begin charging. Note the numbers of any devices that need attention.

Leave unperformed tests marked as untested. When something fails, record who will fix it and what must happen before it can be accepted. For example, a network configuration change may require another simultaneous startup of all stations. That gives the next visit a clear purpose without repeating the entire demonstration.

Send these requirements with your headset count and application list when requesting a VR classroom quotation. The discussion can then centre on the lesson you intend to deliver and the equipment needed to run it.

A VR classroom needs to support a complete lesson across every headset.
