They might need to identify parts of a model, practise a conversation or follow a company procedure. Define how that task will be assessed: what should a participant be able to do independently, and how will the trainer recognise a successful result?

Appoint a programme owner from the training team or the department that will use it. This person approves the scenario and assesses whether the sessions serve their purpose. An administrator takes responsibility for devices, accounts and configuration. The trainer needs instructions for starting the material, ending a session and getting help. One person may fill several roles in a small organisation, but those responsibilities should still be recorded.

Review the content before choosing the whole fleet

Ask the supplier to demonstrate the actual module in the language your sessions will use. Assess its instructions, difficulty, controls and feedback. Content that makes an engaging short demonstration may need changes to match your company's procedure.

For an existing application, establish which scenarios are included and what can be adapted. For custom content, name the person who will approve it and agree on source files, required languages and future updates. Compare costs and delivery dates against the same requirements. An off-the-shelf application is not automatically cheaper or quicker to deploy than every custom alternative.

Decide what a session produces: a result in a dashboard, a local project, an exported file or simply a completion record. This affects account setup and how a headset is prepared for the next participant.

Walmart associate training in material published in 2018, a historical example of VR use. | Photo: Walmart; Walmart Corporate, 2018.

Match the hardware to the application and setup

Start with the devices supported by the application provider. Then compare how clearly the content is displayed, headset fit, controls, required accessories and terms of use within your organisation. If the application runs on a computer, include its requirements and the connection to the headset.

For example, Meta Quest 3 and Quest 3S use the same Snapdragon XR2 Gen 2 processor and 8 GB of RAM, as confirmed by Meta’s developer documentation. Compare how clearly each displays the model, how it fits and how it works with your chosen application. Try the application on each device you are considering.

An enterprise label does not replace a detailed quote. Ask what management features, application licences, repair services and support period are included with the specific version. Confirm that the functions you need and the application you intend to install are available in that setup.

For PC VR, choose how the computer and headset will connect before the trial in your room. Confirm that the application supports that configuration.

Set up accounts and management before the first session

Decide whether headsets will belong to individual users or be shared between groups. The administrator should identify who installs applications, changes settings and restores access after an account problem. Separately, establish what the next participant can see after the previous person's session ends.

There is no single fleet size at which device management becomes necessary. The number of locations, content distribution, available support and organisational requirements also matter. Even a small set of headsets may need a restricted menu and remote administration.

In the Quest ecosystem, distinguish the headset manufacturer's service from a third-party management platform. ArborXR describes enrolling Meta headsets through Horizon managed services. If you choose that route, request the current terms for both services and the functions supported in your chosen mode. A feature mentioned in an old product announcement may not be available in your current plan.

Build a schedule around readiness

Set out the stages and the conditions for moving forward:

Agree the need: approve the objective, participant group, content and programme owner.

Prepare the trial: have the application running on the chosen hardware, give the trainer access, prepare the room and establish how results will be recorded.

Run the pilot: deliver the sessions, record problems and decide what needs improvement or a wider trial.

Expand: approve the configuration, prepare the trainers and agree on repair support and content maintenance.

Give each stage a date, an owner and any dependency that could delay it. A ready-made module, content needing translation and a new application built for the company require different preparation. Choose the number of headsets and participants according to the question the pilot needs to answer.

Assess the trial in the conditions in which it ran

The pilot should test both the application and the appointed trainer's ability to deliver a session. Record any help required from the supplier, interruptions, unfinished tasks and how results were retrieved. Collect participants' opinions separately from assessments of their task performance.

PwC's study of inclusive leadership training compared classroom learning, e-learning and VR. It reports measures including completion time and participants' confidence in applying what they had learned. These offer examples of research questions, rather than a guarantee for any other application. The scope and findings are described in the original PwC publication.

Use your own trial to decide whether the content is suitable for further use, needs revision or does not meet the need. Better performance in an exercise does not by itself demonstrate financial savings. Keep the measurement conditions and limitations with any decision to expand.

A VR demonstration at the Meta Future of Work Summit in May 2023. | Photo: Meta; about.fb.com.

Budget for everyday operation

A quote should separate equipment and accessories, access to content, any management services, application preparation and support. For each charge, establish the billing unit, term and number of authorised users or devices. Applications may use different licensing models.

Include time for configuration and trainer preparation, storage, charging and replacement parts. Calculate repair and consumables costs from the quote and your planned use. Compare options over the same budget period and at the same expected level of use.

Before expanding the fleet, agree how problems will be reported, whether a replacement device or alternative session will be available, and who keeps the content current. Schedule application and system updates so the trainer can try the setup before teaching. Base hygiene, fitting and operating instructions on the relevant manufacturer's guidance.

Three questions before placing an order

Do we need an in-house IT department?

You need someone responsible for accounts, configuration and technical issues. This can be a member of your organisation or an external provider. Agree on their responsibilities before handing over the equipment.

When can we set a date for the first training session?

Once equipment and content availability, application access, the venue and the trainer are established. The date should reflect those dependencies and the agreed scope of work.

What should we include in a request for a quote?

Describe the training objective, participants, chosen content or content requirements, number of locations, how headsets will be shared and what the session should produce. For PC VR, include the application's requirements or the specifications of your existing computer.

Request a quote with that brief. It will help define the equipment and deployment work needed for the sessions your organisation wants to deliver.

A first VR training session brings several things together: suitable content, working equipment, access to the application and a prepared trainer.
